It’s almost impossible to achieve all three simultaneously because improving one always comes at the expense of another.

Whilst there’s some truth in that, it’s not simply about sacrificing one thing for another.

It’s about working out priorities, finding compromises and solutions that will deliver the best possible results within the available budget.

Because every business wants value for money — especially in the current climate where budgets are tight, costs are rising, and companies are trying to make every pound stretch further.

One of the biggest issues in commercial cleaning happens when expectations don’t match the time or budget available.

Everyone wants all areas cleaned to a high standard every visit. That’s the ideal, right? But the budget and the hours allocated, will effect the quality of the cleaning. If the budget doesn’t increase, therefore the time doesn’t increase, and no matter which way you look at it there’s only so much a cleaner can do with the hours given. 

So what can you do if the budget and time is inflexible? You need to accept that you’ll have to make compromises. 

It’s important to identify: 

Priority areas, High-traffic spaces, Areas that need daily attention, Areas that could be cleaned less frequently

A good cleaning company won’t just say yes to everything to win the contract. Over-promising doesn’t benefit client or cleaning company and simply leads to under-delivering.

Instead a good cleaning company will work with clients to find practical solutions that balance expectations with reality.

When clients and cleaning companies work together and set clear expectations, a scheduled cleaning rota works far better than trying to do everything, everywhere, every day in too little time.

Clear Communication Matters

Expectations should always be discussed fully and agreed from the start so everyone understands:

  • What’s included
  • How often areas will be cleaned
  • What standard is expected
  • What can realistically be achieved within the agreed hours

Ideally, this should all be written down so both parties can refer back to it if needed.

This avoids misunderstandings and helps create a much better working relationship.

The truth is, extremely few sites get the cleaning budget they would ideally want.

Facilities managers and on-site staff often feel cleaning should be a higher priority — and many times they’re right. A clean environment affects staff morale, presentation, hygiene, and the overall experience for visitors and customers.

But those higher up in businesses are balancing much bigger financial pressures, including rising operational costs, profit margins, staffing budgets, and overall business performance. Cleaning provision becomes part of a much wider financial picture.

At the same time, cleaning companies face many of the same pressures themselves. While clients understandably want value for money, cleaning companies also need to remain financially viable. Staff wages, National Insurance contributions, pensions, equipment, materials, travel costs, insurance, training, and managerial support all continue to rise in cost year after year. These aren’t luxuries or extras — they’re essential parts of running a professional and reliable cleaning service.

The reality is that most cleaning companies already keep prices as competitive as possible because the industry itself is extremely competitive. But there is always a bottom line.

Client Cleaning Expectations and their Budget

And when it comes to cleaning, there’s also a physical reality that can’t really be avoided: only so much can genuinely be completed within the time allocated. No amount of goodwill changes the number of tasks that can realistically be achieved in one hour, two hours, or five hours whilst still maintaining standards.

That’s why understanding between both parties matters so much. When cleaning companies understand the pressures their clients are under, and clients understand the operational realities faced by cleaning companies, working relationships are far more successful.

Realistic expectations create better results for everyone involved.

In most cases, compromise becomes the most practical solution. That might mean prioritising certain areas, adjusting schedules, or accepting that some spaces need less frequent attention than others. As long as expectations are clear from the beginning and both parties understand the agreed outcome, it creates a far more realistic and sustainable cleaning arrangement for everyone involved.
